Settlement Reconciliation within SAP Environments

Executive Summary

PPS CardDeposit® is used to reconcile payment and credit card settlements against the actual funds that are deposited into the merchant account, bringing deposit data back into SAP for straightforward handling in one centralized location.

When SAP sends a settlement file to the Clearinghouse, it assumes that the entire batch file settles immediately and completely. In reality, the funds often take two to four days to become available, and there are times when the expected amount doesn't match the actual deposited amount.

PPS CardDeposit® uniquely provides a platform to identify - within SAP - which transactions have contributed to a deposit mismatch - allowing the user to drill down and thoroughly investigate each case individually.

Overview

More and more SAP-based merchants are accepting credit cards. Though credit card authorizations go on throughout the day, batch files that settle those authorizations are typically sent out once a (business) day, generally in the late evening.

Though SAP assumes that a settlement file will be deposited in its entirety, in reality, the deposited amount may be affected by any or all of the following factors:

  • Fees; these can be daily or monthly.
  • Chargebacks; these can be positive or negative.
  • Transactions rejected by the Clearinghouse when the settlement is received.
  • Transactions rejected in the overnight settlement processing.
  • Entire settlement files that are put on hold by the processor, but then either discarded or double-posted prior to funds transfer.

Reports to Facilitate Reconciliation

PPS CardDeposit provides a number of SAP-based reports and screens that allow for reconciliation between the settlement file data and the actual funds deposited two to four days later into the merchant's settlement account.

These reports provide links back to all aspects of the underlying batches, and subsequently to all transactions within the batches. From here, there are links to all aspects of each transaction. All of these links in one centralized location make the process of researching problems and issues a straightforward task.

This screen provides a convenient summary list of SAP settlements - noting those transactions that were rejected by the Clearinghouse when the settlement was received.

The Deposit Report

The deposit report describes the details - including fees and chargebacks - of the actual deposited funds.

This report can be used to compare the underlying SAP settlement batch totals to the deposit amounts. Differences are highlighted in the "Difference" column.
